Paper certificates vs digital: what actually changes
An honest comparison for a small UK fire & security company moving off paper or PDF certificates — time on site, admin, disputes, what clients notice, and what to watch out for.
What "digital" means here
Most fire & security companies are already "digital" in the weakest sense: a Word template, filled in from a paper form after the visit, saved as a PDF and emailed. That's paper with extra steps. This guide compares that way of working with a system where the certificate is a structured record filled in on site — because that's where the differences actually show up.

The honest caveat: the first visit to a site takes longer on any new system, because the site and its systems have to be set up. Every visit after that is faster than paper, because nothing is re-typed.
When something goes wrong
Nobody thinks about the certificate until there's an incident, an insurance claim, or a client disputing an invoice. At that point the questions are always the same: what exactly was tested, what was found, and can you prove this is the document that was issued at the time?
Paper and PDF struggle with all three. A structured certificate answers the first two by design, and a fingerprinted one answers the third: the signed record can be verified as unaltered by anyone with the link. See what makes a certificate compliant for the detail.
What clients notice
- They stop ringing you. A portal showing compliant / due soon / overdue across their sites answers the "when was the last service?" call before it's made.
- Sign-off gets faster. Signing a certificate on screen takes a minute; waiting for a printed copy to be signed and scanned takes a week.
- They can self-serve for audits. A compliance pack for a site — every current certificate in one PDF — is something the facilities manager can download themselves when the insurer asks.
- Faults get reported properly. A fault raised in the portal arrives with a site, a system and a priority, instead of a voicemail.
The admin around the admin
Certificates generate work that isn't the certificate: quoting for defects, scheduling the remedial visit, invoicing, chasing the invoice, and remembering when the next service is due. On paper, each of those is a separate spreadsheet or a separate memory. What to watch out for
- Generic forms. One template "for all disciplines" means the fire alarm certificate has no battery calculation and the extinguisher certificate has no per-unit register. Look for purpose-built forms per discipline.
- Signal. Plant rooms and basements have none. The app has to work offline and sync later, or engineers will go back to paper.
- Lock-in. Make sure you can export every certificate as a PDF, and ideally pull your data out through an API, so the records are yours.
- Set-up. Entering every site and system yourself is the part that stalls a migration. Onboarding done with you — not left to you — is worth asking about.
